Start with a usable sourcing request
Provide destination country and port, approximate quantity, new-or-used preference and accepted years or versions. Identify essential equipment and support needs. If supplying a budget, state the currency and whether it refers to the vehicle or a wider delivery scope.
Make flexible requirements explicit. Use the condition guide and year guide to avoid ambiguity. An enquiry starts a discussion; it does not reserve stock or establish binding commercial terms.
Separate amounts and exclusions
Identify the candidate or specification reference and list vehicle cost, inspection, preparation, accessories and proposed delivery stage separately. Distinguish estimates from confirmed amounts and explain what may change them. An undefined all-in figure is difficult to compare fairly.
If named trade terms are used, agree the applicable version and named place in the transaction documents. Destination charges and eligibility need review with appropriate local parties. A generic website guide cannot establish customs or registration outcomes for every vehicle and market.
Connect acceptance with evidence
Attach the accepted equipment record, disclosures and inspection findings. Identify open points and who must resolve them. For a substitute vehicle, retain the change and the buyer’s acceptance of material differences instead of reusing the previous car’s approval.
Keep payment recipient and contracting details consistent with agreed transaction documents. Verify changes through established business channels. The initial form does not need passwords, bank credentials or identity-document images; those details are unnecessary for defining the first sourcing conversation.
Prepare a receiving record
Match vehicle identification across the file. Include dated handover images, agreed preparation evidence, key counts and accessory models or quantities. Associate separately packed items with the relevant car or order. A generic photograph of several cables does not establish what accompanies each unit.
Ask the destination adviser to identify transaction-specific document needs and resolve inconsistencies early. At receipt, compare condition and contents with dispatch records, date new observations and use agreed channels for discrepancies. Documentation helps investigation; it does not eliminate transport or technical uncertainty.
Example: two prices with different scope
One seller includes inspection and a specified accessory while another quotes only the vehicle. Ask for comparable lines before selecting the lower total. If the accessory’s application is unverified, pricing it does not establish suitability. Record both cost and evidence. The final comparison should show what the customer will receive, which work is agreed and what remains unresolved, so a dealer can explain the purchase without adding benefits that no party has committed to provide.
